Annual General Meeting Minutes

Held on the Whitecotes Playing Field - Wednesday 18 August 2021

Keith thanked all those present for coming along to the field for the AGM.

 

Approval of Previous Minutes

 

The minutes of the previous AGM meeting which had been held on 5 August 2020 were approved and signed.

Treasurer’s Report

 

Josie confirmed that there is currently £771.22 in the bank account and a copy of the certified accounts for 2020/21 which had been signed off on the 25 July 2021 were passed around those present to scrutinise.

 

Web Site

 

The secretary reported that she had been unable to contact Simon who sponsored and controlled the FoW Web Page which now remains defunct. The possibility of resurrecting this is to be investigated.

FoW Profile

 

Ann had brought along a copy of a poster she had created with which to canvass the area, as she had pointed out that many people are now new to the area and are not aware of the achievements or indeed the existence of the FoW. This being the case, it was decided that this situation should be addressed. One idea was to create a dynamic A5-sized poster outlining the improvements which have been undertaken with the securing of funding in the sum of £85,000 since the formation of group in 2016. As currently the only publication which covers the whole area is “Our Town”, a council publication, it was decided that a poster could be put in the noticeboard down at the bottom of the field and that we could contact S40 to include the poster as and when the contents have been agreed.

Trees

 

The Queen’s Green Canopy scheme has been launched to plant trees from the start of the tree planting season in October 2021 through to the end of 2022 to mark her 70 years on the throne.Ron Mihaly the County Councillor has kindly offered some funding for this to run in conjunction with the Borough, who John confirmed had already visited the site along with Derbyshire Wildlife Trust.The council are making strategic decisions by Ward to identify those areas which with climate change will benefit the most in the longer term.Gary McCarthy the Principal Parks Delivery Officer to be made aware of the offer.

Benches

 

The soil under some of the benches had eroded, the two in the children’s play area being the worse affected.The council to be contacted.

 

Antisocial Behaviour

 

It was reported that several incidents of antisocial behaviour had been reported in the children’s play area, the major of these taking place between 6 - 8pm in the evening.

The PCSO’s have been seen in the area in the mornings and afternoons.The secretary to make the supervisor aware of the situation and to find out if the recruitment of the new Enforcement Officers had taken place.

 

It was stressed how important it is to report any antisocial behaviour on the 101 number so that the patrols can be made aware and therefore more proactive.

Signage

 

The Borough Council is to produce two signs with all the relevant contact details, one of which to be placed at the Hazel Drive entrance.

Grass Cutting

 

Once again it was noted how well the grass is looking now and that the Borough Council team responsible should be thanked.

 

So many of those using the field pick up any litter they find, it is really heart- warming to see the pride taken in the field.It was also reported that the Chesterfield Litter Picking Group along with a group from McDonalds had been seen at work in the field.

Bulb Planting

 

It was agreed that the daffodils this year were a welcome sight especially along the front of the benches, 3000 bulbs had been planted by pupils from William Rhodes Primary School along with volunteers from the FoW.

Paths

 

The question of why a path from the Whitecotes Close entrance to the main path had not been undertaken as was shown on the original plan path B was raised.John explained that finding the capital when they are not seeing growth in their budgets means that they have to take a view of the most used route to adopt to enable their maintenance liability to be fulfilled.

Fields in Trust Status

 

This is still on the agenda and it is hopeful we will have something to report at a later date.

 

 

 

 

Outdoor Gym

 

At the last meeting the idea of an outdoor gym was raised, something along the lines of the one proposed at Holme Hall which we understand will cost somewhere in the region of £12500.

 

It would be appreciated if those who are keen on this idea could email us to confirm their interest so that we may gauge the demand in the local community.

Viper

 

John Ramsay confirmed that the Council would look to reinstate this play equipment as soon as possible.

Funding

 

It was brought to our attention that there is funding available through Chesterfield Borough Council for The Community Infrastructure levy.The funding can be used by local charities and community groups to support projects across Chesterfield. Funding can be used for a variety of projects.

 

This is something that we may be able to access in the future.
